Job Description
Located out of our Calgary office, the individual in the Administrative Assistant role (Part Time) will report to the Senior Manager, NGL Finance.
The successful candidate will support the senior leaders in the Facilities Infrastructure business unit in Calgary (currently 5 leaders) and will work closely to support them and their teams to achieve performance objectives. The individual in the role will work collaboratively to provide administrative support for Cochrane Extraction Plant and the Offgas sites, as needed. The ideal candidate will be motivated and have excellent oral communication and organizational skills. The successful candidate must be able to work in a fast-paced, growth environment.
Key Activities and Responsibilities
- Support senior Facilities Infrastructure leaders by maintaining calendars, reconciling expense reports, arranging travel logistics and providing more general administrative support as may be required from time to time including printing documents, compiling agreement binders, assisting with presentations etc.
- Process agreements with multiple parties through Adobe Sign
- Maintain agreement storage and filing system (online)
- Submit PO invoices for processing; prepare appropriate documentation for vendor set-up in SAP
- Assist with department budget planning and support key projects
- Review and edit correspondence, communications, meeting minutes, presentations, reports, and other documents as required
- Support compliance and reporting requirements including Contracts and Commitments quarterly reports
- Plan and organize events for the Facilities Infrastructure team including townhalls; key meetings; lunches; customer events; set-up/take down and clean up, as required
- Provide general administrative support as may be requested from time to time including ordering of office supplies; picking up delivered mail including opening and sorting as required; receiving and interacting with incoming visitors; managing office equipment; ensuring common areas in the Facilities Infrastructure office space are properly maintained and kept organized
- Keep the Facilities Infrastructure team appraised of upcoming dates of importance which may be reflected on myHub or otherwise including townhall dates; deadlines for policy review, deadlines for training; corporate events; fridge cleaning dates
- Support off-site storage in accordance with records management policy
Education, Skills and Experience
- Previous experience in an administrative assistant position is an asset
- Must be tech savvy and possess intermediate to advanced Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
- SAP skills are an asset
- Excellent communication skills, both verbal and written
- Highly organized
Hours
PART TIME POSITION, 20 hours per week. In office 5 days per week but hours are flexible.
