Description
Located in our Calgary head office and reporting to our SVP and Chief Legal, People & Sustainability Officer we are seeking a highly organized and proactive Senior Administrative Assistant. In this role, you will provide advanced administrative support, coordinate day to day operations, and enable leaders to execute on key priorities. You will be a central partner in maintaining seamless workflows and ensuring the team operates efficiently and effectively.

Key Activities and Responsibilities
• Manage calendars, meeting logistics and catering, travel arrangements, event coordination and monthly P – card expense collection and reporting for the Legal, People and Sustainability leadership team.
• Maintain documentation, filing systems and version control in MyContent, SharePoint, Athennian (corporate minute books) and other repositories.
• Maintain team distribution lists, folder permissions, and shared resources and monitor the Inter Pipeline Legal inbox
• Provide high quality document formatting, proofreading, template management, version control, and document readiness.
• Maintain the calendar of Indigenous Events
• Various HR administrative tasks including but not limited to; employee and contingent worker onboarding, creating and maintaining purchase orders, spot awards and service awards, data entry and file maintenance.
• Support annual budget preparation, coordinate the monthly forecasting cycle and maintain tracking spreadsheets and monthly reports as required
• Monitor cost center spending and prepare monthly legal accruals
• Code and process invoices and coordinate vendor onboarding, engagement letters, and SAP support.
• Prepare and distribute monthly NDA report to the CEO, CFO and Legal leadership.
• Support compilation and updates of monthly and quarterly reports (e.g., Monthly Finance and Operating Results LPS data and notes, commitments and contingencies updates, litigation summaries).
• Support corporate records management by maintaining minute books and Athennian data (filing approved documents, updating org charts, director/officer listings, retrieving standard information, and assisting with CRA information requests).
• Coordinate regulatory and legal administration including annual returns, Canadian licensing registrations, CORES corporate searches (or coordinating with external counsel), filing monthly Treasury documents, and supporting StatsCan and Audit Enquiry requirements.
• Assist legal, tax, and audit processes by managing document version control, coordinating legal listings and enquiry letters, gathering inputs across teams, and supporting Master Contracts List requests by retrieving and organizing required contracts.
Education, Skills and Experience
• 5+ years of administrative experience, ideally supporting legal or corporate function.
• Diploma/certificate in Business Administration, Legal Assistant or equivalent experience is an asset.
• Strong proficiency with Microsoft Office, particularly Excel, Word, and PowerPoint.
• Experience with SAP or similar ERP systems is an asset.
• Strong organization and prioritization skills with the ability to manage monthly, quarterly and annual cycles with minimal supervision.
• Proven experience with budgeting/forecasting, accruals, and invoice processing.
• Strong critical thinking, judgment, and problem-solving abilities.
• High degree of confidentiality and professionalism.
Hours
40 hours per week, Monday – Friday, with the potential for extended work hours based on business needs.
As this position is identified as security sensitive, employment of a final candidate will be conditional upon completion a criminal background check assessments with satisfactory results.
